shipping policy

We ship within the European Union. For sales outside of the EU please contact us.

Shipping Terms

Last updated: 16 December 2025.

These Shipping Terms apply to all orders placed with Grounds Coffees ("we," "us," or "our"). By placing an order, you agree to the terms set out below.

1. Shipping Destinations

We currently ship orders within the European Union (EU).

For deliveries outside the EU, please contact us prior to placing an order so we can assess availability, shipping options, customs requirements, and applicable costs.

2. Packaging & Shipping Methods

Shipping method depends on bag size and shipment weight:

  • 15 kg bags are shipped via a signed-for postal or parcel service.

  • 40 kg and 46 kg bags are shipped via courier or freight transport.

All shipments require a signature upon delivery unless otherwise agreed in writing.

3. Incoterms

All deliveries are made under FOT (Free on Truck / Freight on Truck) terms. Risk of loss or damage transfers to the Buyer upon delivery to the transport company.

4. Shipping Costs

Shipping costs are calculated at checkout based on:

  • Weight and dimensions of the shipment

  • Delivery destination

  • Selected shipping method

Shipping charges are collected at the time of purchase. The amount shown at checkout represents the final shipping cost charged to the customer, unless otherwise agreed in advance (e.g., special freight arrangements).

5. Dispatch & Transit Times (EU)

Dispatch Times

  • For shipments under 38 kg: orders placed before 12:00 (noon) on a business day are usually dispatched the same day; orders placed after this time are dispatched the next business day.

  • For shipments over 38 kg: dispatch timing depends on courier or freight availability. In most cases, pickup can be arranged within 1–2 business days.

Transit Times

For EU destinations, estimated transit times are typically 2–7 business days from dispatch. Transit times are estimates only and may vary depending on destination, carrier, and external factors.

6. Delivery Inspection

The Buyer is responsible for inspecting the delivery upon reception. If any of the following issues are identified:

  • Damage to goods

  • Missing items

  • Discrepancy between the delivery and the packing list

The Buyer must annotate these issues on the delivery note provided by the transport company.

Failure to make such annotations at the time of delivery may prevent the Buyer from making claims to the transport company.

7. Warehouse Operations

Our warehouse operates Monday to Friday during standard business hours, excluding national holidays. Orders are not dispatched on holidays. While we take reasonable steps to minimize delays, dispatch times may be affected during peak periods or public holidays.

8. Change of Delivery Address

Requests to change the delivery address can be accommodated at any time before the order has been dispatched. Once an order has been handed over to the carrier, address changes may no longer be possible.

9. P.O. Box Addresses

We do not ship to P.O. Box addresses, as all shipments require signature upon delivery.

10. Availability & Stock Levels

All orders are subject to stock availability. While we make every effort to maintain accurate stock information, occasional discrepancies may occur.

If an item you ordered is unavailable:

  • We will ship the available items; and

  • Contact you to confirm whether you prefer to wait for restocking of the unavailable item or receive a refund for that item.

11. Delays & Force Majeure

Grounds Coffees is not responsible for delays caused by events beyond our reasonable control, including but not limited to carrier delays, customs processes, weather conditions, strikes, or other force majeure events.

If you have questions about shipping or require special arrangements, please contact us prior to placing your order.
